How do I add a Contact?

Click on Relationships in the left navigation panel. Then Click add as seen in the screenshot below.
 
 
You will input the name and then click add. A new blank screen will appear where you will add all the info for your new Contact.
 
 

Relationship Info: 

1.Click Add Name: Here you’ll enter their first and last name and pronoun preference (you can also add custom pronouns for your contact). If you have met this person before, add when you met them and where. That’s vital info to remember.
2. Click Add a Tag: Here is where you’ll add a tag to your contact OR create a new one. You can add multiple tags per contact if appropriate. Make sure to add a tag to EVERY contact.
3. Click Add Birthday: If you know the month and day of their birthday, add it here. You will get a reminder on your Dashboard when their birthday is coming up.
4. Add Relationship System: The Actor's Office has Automated Relationship Reminder Systems for all your industry contacts. You select which system to use based on how well you know your Contact. We don't want your relationships to fall through the cracks whether you're creating, building or maintaining them.  We urge you to check one of these boxes.
 
IMPORTANT: When adding a Contact to a system, how they are tagged becomes vital. From now on, you’re going to be looking at your relationships through the lens of either Casting Directors OR Industry folks. Industry folks are everyone else - writers, producers, directors, etc. Please make sure your Contacts are tagged appropriately before adding them to an Automated Relationships System.
  • Targeted List: This system is for the people in the industry that you are targeting. These are the folks you want to work with, that tell the stories you tell, BUT you don't have a relationship with them...yet.
  • Follow-Up List: This system is for all the industry people you JUST met whether that be over coffee, at an event, or an audition. Now you get to follow up with them to make sure you're beginning this relationship off right. Once they’re complete with the Follow-Up system, they will automatically be added to the Maintenance List.
  • Maintenance List: This system is for all the people in the industry that you’ve met and followed up with after the audition or meeting, and now you want to continually maintain that relationship and stay top of mind.
 
5. Add Company: Here you can add any and all companies associated with your Contact. There are Company Types you can select or you can create your own custom types as well.
 
6. Add Email: Here you can add any and all email addresses associated with your Contact. There are Email Types you can select or you can create your own custom types as well.
 
7. Add Phone: Here you can add any and all phone numbers associated with your Contact. There are Phone Types you can select or you can create your own custom types as well.
 
8. Add Address: Here you can add any and all addresses associated with your Contact. There are Address Types you can select or you can create your own custom types as well.
 
9. Add Social Profile: Here you can add any and all social media accounts associated with your Contact. There are Social Types you can select or you can create your own custom types as well.
 
10. Add URL: Here you can add any and all websites associated with your Contact. There are URL Types you can select or you can create your own custom types as well.
 
11. Add Instant Messenger: Here you can add any and all Instant Messenger apps associated with your Contact. There are Instant Messenger Types you can select or you can create your own custom types as well.
 
12. Add Important Dates: Here you can add any and all important dates associated with your Contact. There are Important Date Types you can select or you can create your own custom types as well.
 
Notes Tab:
You can add any notes you’d like to about this contact.

Appointments Tab:
You can add an appointment with your contact here. Also any appointments you add in your Calendar with this Contact associated with it will appear here.

Relationship Reminders Tab:
If your Contact was added to an Automated Relationship System, all the action steps will appear in this tab. You can see what’s due, what’s coming up and what you’ve already completed.
